Customising your IPP3A notification templates in DEIS
DEIS sends notifications to individuals when the notification pathway is selected. Here is how to customise the content and branding.
When you select the "notification" pathway for a lookup in DEIS, the system sends an email to the individual informing them that their personal information has been collected from a third-party source. You can customise these notifications to match your business branding and communication style.
Accessing templates
Go to Settings → Notifications → Templates. You will see the default notification template, which includes:
- Your business name and contact details
- The data source accessed
- The type of information collected
- The individual's rights under the Privacy Act
- A link to the DEIS transparency portal
Customisation options
Business branding. Add your logo, business name, and contact details. The notification is sent from DEIS on your behalf and clearly identifies your business as the agency that collected the information.
Additional context. You can add a custom paragraph explaining why your business collected the information. For example, a car dealer might add: "We collected this information as part of a vehicle history check related to a potential purchase."
Language. The default templates are in English. You can add translations for Te Reo Māori or other languages.
What you cannot change
The core privacy rights information and the link to the transparency portal are mandatory and cannot be removed. These ensure that every notification meets the minimum requirements of IPP3A.
Preview and test
Before going live with a custom template, use the "Send test" button to preview the notification. This sends a test email to your own address so you can check the formatting and content.
